Texinnova Axis (Pvt.) Ltd. ("Texinnova", "we", "us", or "our") builds and operates ERPX.
This policy explains what information we collect when you use ERPX or our websites, why we collect it, who we may share it with and the choices you have regarding your information.
ERPX is primarily used by businesses and organizations. In many cases, the information stored in ERPX belongs to and is controlled by the organization using the service, rather than by Texinnova.
1. Information We Collect
Information about your account
When you create or use an ERPX account, we may receive your name, email address, organization, role, contact information and information needed to authenticate and manage your account.
Information stored in ERPX
Organizations use ERPX to run different parts of their business. This means ERPX may contain information about customers, suppliers, employees, sales, purchases, accounts, inventory, manufacturing, projects, documents and other business activities.
We refer to this information as Customer Data.
The organization using ERPX decides what Customer Data is entered into the system and how it is used.
Technical information
Like most online services, we collect some information automatically when ERPX is used. This can include IP addresses, browser and device information, login activity, audit logs, application activity and error or diagnostic information.
We use this information to keep ERPX running, troubleshoot problems, understand performance and protect the service from unauthorized access.
Billing information
If you purchase a subscription or other paid service, we may collect billing details such as your billing name and address, tax information, subscription information and transaction records.
Payments may be handled by third-party payment providers. Where this happens, we may not receive or store your complete card or banking information.
2. How We Use Information
We use information to provide and operate ERPX. This includes creating accounts, authenticating users, providing requested features, supporting customers, managing subscriptions, maintaining security, monitoring performance, fixing problems and improving the service.
We may also use contact information to send important account, security, billing, or service-related communications.
We do not sell personal information.
3. Customer Data
Our customers control the business information they put into ERPX.
When we process personal information on behalf of an organization, that organization will generally be the data controller and Texinnova will act as its data processor or service provider.
We process Customer Data to provide, maintain, secure and support ERPX and in accordance with our agreement with the customer.
Customers are responsible for ensuring that they have the necessary rights and permissions to collect and use information they place in ERPX.
If your ERPX account was provided by your employer or another organization, that organization may administer your account and access, manage, export, modify, or delete information in its ERPX environment.
If you have a privacy request relating to information held by your organization, you should normally contact that organization first.
4. Legal Basis for Processing
Where data protection law requires us to have a legal basis for processing personal information, the basis will depend on why the information is being processed.
We may process information because it is necessary to provide our Services or perform a contract, because we have a legitimate business interest such as keeping ERPX secure and reliable, because you have given us consent, or because we need to comply with a legal obligation.
When we process Customer Data on behalf of an organization, that organization is generally responsible for determining the legal basis for collecting and using that information.
5. Authentication and Single Sign-On
ERPX may allow you to sign in through Google, Microsoft, or another identity or Single Sign-On (SSO) provider.
If you use one of these services, we may receive basic account information such as your name, email address, profile information and a unique identifier. We use this information to authenticate you, connect you to the correct ERPX account and organization and keep your account secure.
We do not receive or store the password you use with your identity provider.
We do not sell information received from identity providers or use it for advertising.
When Google authentication or Google APIs are used, we use Google user data only to provide the features authorized by the user or their organization. We do not sell Google user data or use it for advertising. We also do not use Google Workspace API data to train general-purpose AI or machine-learning models.
6. Integrations
ERPX may connect with other applications and services.
If you or your organization enables an integration, we may exchange information with that service as needed for the integration to work. What is shared depends on the integration and the permissions you or your organization have granted.
Third-party services have their own privacy policies and terms, which apply to their handling of information.
8. Security
We take reasonable technical and organizational measures to protect the information stored and processed through ERPX.
These measures include controls such as encrypted connections, authentication and authorization, access restrictions, security and audit logging, monitoring, backups and recovery procedures.
No online system can guarantee absolute security. We regularly review and improve the security of ERPX as the product and the threats facing online services evolve.
9. How Long We Keep Information
We keep information for as long as we need it to provide ERPX and meet our contractual, security, accounting, tax and legal obligations.
How long particular information is kept depends on what it is, why we collected it, the customer's subscription and instructions and any legal or regulatory requirements that apply.
After an account or subscription ends, Customer Data may remain available for a limited period for recovery, export, backups, legal requirements, or other legitimate purposes before being deleted or anonymized.
Information removed from our active systems may remain in backups until those backups expire through their normal retention cycle.
10. Exporting Your Data
Organizations using ERPX can access and manage their business information through the service.
Where supported by ERPX and the customer's subscription and permissions, Customer Data can also be exported from the system.
If applicable privacy law gives you a right to receive a copy of your personal information, you may request it from Texinnova or, where the information is controlled by your organization, directly from that organization.
12. International Processing
Texinnova and the service providers we work with may process or store information in countries other than the country where you are located.
Where required by law, we use appropriate safeguards to protect personal information when it is transferred internationally.
13. Your Privacy Rights
Depending on where you live, you may have rights relating to your personal information. These may include the right to access, correct, delete, restrict or object to certain processing, or receive a copy of your information.
You may also have the right to withdraw consent where we rely on consent, or to complain to the relevant data protection authority.
These rights are subject to applicable law and may not apply in every situation.
If your information is controlled by an organization using ERPX, please contact that organization first. For information controlled directly by Texinnova, you can contact us using the details below.
We may need to verify your identity before completing a request.
14. Communications
We may send you account, security, billing, administrative and service-related messages as part of providing ERPX.
We may also send product news or other marketing communications where permitted. You can opt out of non-essential marketing messages, but you may still receive communications necessary to operate your account or provide the service.
15. Children
ERPX is business software intended for organizations and their authorized users. It is not designed as a consumer service for children.
16. Changes to This Policy
We may update this policy as ERPX, our business, or legal requirements change.
When we do, we will update the date at the top of this page. If a change is significant, we may also provide additional notice.
